We are seeking a highly organized and proactive individual to join our team as an HVAC Service Coordinator. In this role, you will be responsible for coordinating and scheduling HVAC service technicians to ensure timely and efficient completion of service calls. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities
• Schedule Management: Coordinate and schedule HVAC service appointments for technicians based on customer requests, urgency, and technician availability.
• Dispatching Technicians: Assign service calls to HVAC technicians, ensuring proper allocation of resources and timely response to customer needs.
• Customer Communication: Take inbound service calls from customers and proactively communicate with customers to confirm appointments, provide updates on service schedules, and address any concerns or questions they may have.
• Price small repairs: Price service repairs by gather requirements from technicians, gathering quotes from vendors, and developing a quote using standard GMS template and process.
• Technical Support: Provide basic technical support to customers over the phone, troubleshooting issues and offering guidance on temporary solutions until a technician arrives.
• Parts Purchasing: Purchase parts for so that technicians have the necessary parts and equipment for each service call / repair. Create / process purchase orders.
• Documentation: Maintain detailed records of service calls, including customer information, service performed, parts used, and technician notes.
• Quality Assurance: Monitor service calls to ensure quality workmanship, adherence to company standards, and customer satisfaction.
• Billing and Invoicing: Support the billing team as needed to ensure timely billing of customers
• Team Collaboration: Work closely with other departments, such as sales and maintenance, to coordinate service activities and maximize efficiency.
Requirements
• Experience: Previous experience in a service coordinator / dispatcher role, preferably in the HVAC industry
• Customer Focus: Commitment to providing exceptional customer service and ensuring customer satisfaction with every interaction.
• Technical Knowledge: Basic understanding of HVAC systems and terminology to effectively communicate with technicians and customers.
• Organization Skills: Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
• Communication: Excellent verbal and written communication skills, with the ability to interact professionally with customers, technicians, and other team members.
• Problem-Solving: Ability to think quickly and creatively to resolve scheduling conflicts, address customer concerns, and troubleshoot technical issues.
• Computer Skills: Proficiency in using scheduling software, CRM systems, and Microsoft Office Suite.
• Flexibility: Willingness to work flexible hours, including evenings and weekends, to accommodate customer needs and service demands.
Preferred Qualifications
• Certification or training in HVAC systems or related field.
• Familiarity with Spectrum and Salesforce
