The Quotes Coordinator at CCAC Building Solutions plays a critical role in ensuring smooth collaboration between the Client Support Coordinator, Technicians, and Vendors to streamline the process of creating and delivering accurate, competitive quotes to clients. This individual ensures that technicians have access to necessary materials and accurate pricing for quotes, while also managing follow-ups, part ordering, and coordination with sales for unit replacements.
Position Responsibilities
• Quote Preparation and Submission
• Assist in preparing quotes that were not completed by field technicians.
• Obtain part costs and input data into spreadsheets to calculate markups for competitive pricing.
• Finalize incomplete quotes before submitting them to clients.
• Follow-Up on Quotes
• Track submitted quotes (by yourself and technicians) and follow up to secure client approval.
• Parts Ordering and Logistics
• Order parts for approved quotes, ensuring timely delivery to the correct locations.
• Determine shipping methods (expedited or standard) based on project urgency.
• Follow up on delayed parts and resolve logistics issues.
• Collaboration with Sales Team
• Provide unit replacement leads to the sales team alongside repair quotes for client presentation.
• Track replacement leads and categorize them as payable or non-payable.
• Purchase Orders and Materials Management
• Create purchase orders (POs) for technicians and manage material orders.
Essential Skills, Knowledge, and Experience
• Education:
• Bachelor’s degree preferred.
• Experience:
• 2+ years of experience in commercial HVAC sales (preferred).
• Working knowledge of commercial HVAC systems.
• Technical Skills:
• Proficiency with basic/intermediate computer systems and ability to operate tablets or cell phones effectively.
