• *Position Overview:**
The HVAC Admin/Dispatcher will be responsible for coordinating and dispatching HVAC service calls, managing schedules, and providing administrative support to ensure smooth operations within the company. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
• *Key Responsibilities:**
- Dispatching and Scheduling:

Coordinate and dispatch HVAC technicians to service calls based on priority, location, and technician availability.

Maintain and update the service schedule, ensuring efficient allocation of resources.

Communicate with customers to confirm appointments and provide updates on service times.
- Customer Service:

Answer incoming calls and emails from customers, addressing inquiries, scheduling appointments, and resolving issues.

Provide excellent customer service by addressing customer concerns and ensuring satisfaction.
- Administrative Support:

Perform data entry and maintain accurate records of service calls, customer interactions, and technician reports.

Assist with invoicing, billing, and processing payments from customers.

Prepare and distribute daily, weekly, and monthly reports as required.
- Inventory Management:
- Team Collaboration:

Work closely with HVAC technicians, providing them with necessary information and support for service calls.

Collaborate with other administrative staff to ensure seamless operations.
• *Qualifications:**

High school diploma or equivalent; additional education or training in office administration or HVAC systems is a plus.

Proven experience in dispatching, scheduling, or administrative roles, preferably in the HVAC or related industry.

Strong organizational and multitasking skills with attention to detail.

Excellent verbal and written communication skills.

Proficiency in using dispatch software, Microsoft Office Suite (Word, Excel, Outlook), and other relevant tools.

Ability to work effectively in a fast-paced environment and handle high call volumes.
