All Weather Contractors (located in Jacksonville) has an immediate opening for an Administrative Assistant - Permit Specialist for our HVAC Special Projects Division. Under the guidance and leadership of the Director, this position will provide administrative support to field project managers as it relates to all aspects of permitting and project administration for construction projects. Will work to complete permit applications, plans to comply with permit requirements and other administrative duties as needed.

Responsibilities & Duties will include, but are not limited to: • Oversee the permitting process for all projects. • Put together the actual permit package to be uploaded to permit site or Portal. Includes the application, related documentation, and plans as needed. • Maintains the Permit Tracker – Excel spreadsheet, to monitor the progression of the permitting process. • Obtain notarized signatures for NOC, property managers, etc. to complete packages. • Walk-thru permitting documents and obtain proper approval for permits to be issued. • Arrange for the permits to be delivered to the actual job boxes in an organized and timely manner. • Communicate with field personnel on a daily basis to organize and keep track of potential upcoming projects that will need permits. • Order and confirm delivery and pick-up for heavy equipment on job sites. • Coordinate with Field Personnel as needed for job needs. • Assist Business Manager with Invoicing as needed. • Administrative support and communication to the field. • Heavy volume of communication and work with Microsoft Outlook e-mail & Excel • There is a strong emphasis on organizational and time management skills with this person being the primary point of contact for permitting. • Perform additional duties as assigned
